Passport printed but not dispatched: what to do next
Quick answer: “Passport has been printed” means the booklet has reached printing status; it does not mean India Post has accepted it. Save the Passport Seva status with date and file number, confirm there is no visible show-cause or document issue, and register an official Passport Seva grievance or call 1800-258-1800 to obtain a Service Request Number (SRN). Track the SRN. Once a Speed Post consignment appears, track India Post; before that, the Regional Passport Office is the record-holder to contact.
Do not book a non-refundable journey on the assumption that a printed booklet will be delivered by a date not shown in an official commitment. This guide helps create a traceable record and move the question to the correct office without submitting a duplicate passport application.
Understand the status boundary
Passport Seva's official status material uses wording such as: “Passport has been printed and applicant would receive an SMS/e-mail once the passport is dispatched.” That separates four events:
- the application was granted;
- the booklet was printed;
- the Passport Office handed a consignment to India Post; and
- India Post delivered or returned it.
At “printed”, you may not yet have a postal consignment number. India Post cannot trace a dispatch it has not received. Once Passport Seva shows dispatch and a Speed Post number, postal tracking becomes relevant.
First 30 minutes: preserve a clean evidence set
Save:
- file number and date of birth used for status checking;
- a full screenshot/PDF of the status and check time;
- application receipt and ARN/file details;
- date the application was granted, if shown;
- every SMS/email from Passport Seva;
- any police-verification or show-cause status visible; and
- travel evidence only if urgency is genuine.
Keep the unredacted packet private. In public posts, mask the file number, date of birth, address, phone and email. No grievance agent needs your password or OTP.
Step 1: recheck on the official Passport Seva portal
Open Passport Seva directly and use “Track Application Status”. Confirm the service type and file number. Look for a show-cause notice or an instruction to contact the office. A printed status usually indicates a later stage, but the full application record may contain a separate action item.
Do not submit a fresh passport application or pay a new fee merely because dispatch is pending. Duplicate applications can create a new problem without moving the printed booklet.
Step 2: register a Passport Seva grievance and obtain an SRN
Use the official Passport Seva Feedback/Grievance page. Include:
- file number and applicant name inside the secure form;
- printed-status date;
- the absence of a dispatch/consignment update;
- any genuine travel date; and
- the exact request: confirm the current dispatch stage, hold reason if any, and expected next official action.
Save the Service Request Number. Passport Seva's current grievance instructions say the SRN can be used for subsequent enquiry and status tracking. Track it through the official grievance-status facility rather than filing a new complaint every day.
You can also call the National Call Centre at 1800-258-1800. The official page says the executive can register a grievance and provide an SRN. Keep a note of the date, time and SRN; do not treat a verbal assurance as dispatch proof.
A precise complaint template
Subject: Passport printed but no dispatch update — File No. [file number] My Passport Seva status has displayed “passport has been printed” since [date]. As of [date/time], no dispatch SMS/email or Speed Post consignment number is shown. Please provide through this grievance: 1. the current processing/dispatch stage; 2. any recorded hold or deficiency requiring action from me; 3. whether the booklet has been handed to India Post and, if so, the consignment number; and 4. the office/section presently responsible for the next action. Attached: status screenshot, application receipt and prior SRN/reply.
Ask for the actual stage rather than demanding a made-up “24-hour dispatch rule”.
Step 3: contact the responsible Regional Passport Office
The Passport Seva portal lists Passport Offices and their contact details. Send the SRN, file number and status evidence to the RPO responsible for the application. If the portal offers an appointment, enquiry counter or Passport Adalat for long-pending cases, use only the current notice published by that office.
The official information page also lists the Passport Public Grievance Cell within the Consular, Passport and Visa Division. Use the channels currently displayed on Passport Seva; avoid old email lists copied from blogs.
Personal collection is not the normal solution. Passport Seva's current postal-dispatch FAQ says passports are sent through Speed Post to the present address in the application and that personal collection is not allowed.
Step 4: track India Post only after dispatch
Once a consignment number appears, use India Post's official Speed Post tracking utility. Save each tracking event. If tracking shows:
- booked/accepted: India Post has the item;
- in transit: contact the postal facility only if the scan trail stalls materially;
- out for delivery: ensure someone can receive it under the applicable delivery procedure;
- delivery attempt/problem: contact the listed delivery office with identification; or
- returned to sender: contact the Passport Office, as the official Passport Seva FAQ instructs.
Do not pay a caller who offers to “release the parcel” via UPI. Verify any postal communication through the official consignment record.
When CPGRAMS is appropriate
If Passport Seva/RPO grievance channels do not produce a reasoned response after a reasonable record of follow-up, file a grievance at CPGRAMS for the Ministry of External Affairs/Passport service route exposed by the portal. Attach the SRN, dates and unresolved point.
CPGRAMS is a grievance channel, not an emergency passport counter. One complete grievance is better than many duplicates. Track the registration and challenge a closure that merely repeats the status without answering the handover/hold question.
Use RTI for records, not emergency delivery
RTI can help when the office will not say where the printed booklet is. File to the correct Ministry of External Affairs/Passport public authority and seek existing records such as:
- date and time of printing completion;
- date-wise movement from print to dispatch section;
- any quality-control hold, reprint instruction or dispatch exception;
- dispatch register entry and Speed Post consignment number, if created;
- action taken on each SRN; and
- the current standard operating instruction governing printed-to-dispatch handling.
Do not ask the PIO to “dispatch immediately”, predict a delivery date or disclose operational/security details exempt under law. RTI has its own statutory response process and is not the route for travel within days.

Avoid these common mistakes
- submitting a fresh application while an issued booklet is pending;
- treating “printed” as a postal acceptance scan;
- calling India Post without a consignment number;
- posting the file number and date of birth publicly;
- using e-Migrate, police or unrelated emergency portals for a dispatch query;
- paying a broker for an SRN or “special dispatch”; and
- quoting the Tatkaal dispatch expectation as a universal normal-application deadline.
Passport Seva publishes a specific Tatkaal expectation after successful submission/grant in its Tatkaal FAQ. That does not create the same fixed promise for every normal application or every exceptional hold.

No. Passport Seva distinguishes printing from dispatch. Wait for the dispatch update and consignment number before treating it as a postal item.

Can I collect the printed passport from the RPO?
