For most homes and small offices that print RTI applications, pension papers, court documents, school forms and tax records, a refillable colour ink-tank all-in-one is the safest default. Choose automatic duplex when you print long files, an ADF when you scan bundles, and a monochrome laser only when most work is black-and-white and frequent.

A printer-scanner combines printing, flatbed scanning and copying in one machine. Some models add Wi-Fi, automatic two-sided printing or an automatic document feeder. For government paperwork, the important questions today are monthly volume, colour need, page size, scan-batch size, running cost, service access and compatibility with your phone or computer.

The E477 is a cartridge-based colour all-in-one with Wi-Fi. Canon specifies print, scan and copy at up to 8 images per minute in mono and 4 in colour. It is the budget pick only while its final checkout price remains below ₹10,000; RTI Wiki deliberately does not display a price because prices can change.

It is the cleanest fit for long submissions, appeal paper-books and office drafts where paper saving matters.

• Skip it if: your real bottleneck is scanning 15 or 20 loose pages; this model has no ADF.

An automatic document feeder matters more than raw print speed when you repeatedly digitise application sets. Brother specifies a 20-sheet ADF, automatic two-sided printing, a refillable colour ink tank, dual-band Wi-Fi, Wi-Fi Direct, Ethernet and USB. The ADF can process a loose stack; bound, fragile, folded or stapled records still belong on the flatbed.

• Useful for: advocates, resident associations and small offices that copy or scan multi-page files every week.
• Skip it if: you scan one ID or certificate at a time and have little desk space.

Its ADF does not scan both sides automatically, so double-sided originals need a second pass.

• Skip it if: colour marks, stamps, photographs or charts are part of the routine record.

The Epson WorkForce ES-60W is a scanner, not a printer. Epson specifies an A4 sheet-fed design weighing 300 g, USB and Wi-Fi, a built-in battery, 600 × 600 dpi optical resolution and a daily scan volume up to 300 sheets. Automatic Feeding Mode saves successive sheets into one PDF, but each sheet is inserted individually.

• Useful for: field visits, inspections, travel and a desk that has no room for a full all-in-one.
• Skip it if: you need copying or printing, or regularly scan bound and fragile originals.

The MG2577S is a compact, USB-only cartridge model with print, scan and copy functions. Canon recommends just 10–80 prints a month, which makes the category boundary clear: it is for rare forms and copies, not a growing office. Its flatbed scanner handles A4 or Letter originals.

• Skip it if: you expect recurring school, tax, court or office bundles. Compare a refillable ink-tank instead.

Choose a colour ink-tank when colour copies matter, you print often enough to keep ink moving, and you want a lower consumable cost than small cartridges usually provide. Print a small colour page regularly and follow the manufacturer's cleaning guidance; long idle periods can create maintenance work.

Choose a monochrome laser when nearly everything is black text, the machine serves several people, and weekly volume is predictable. Check the recommended monthly volume, refill system, drum life, service access and power requirements. A maximum duty cycle is not a target for everyday use; the manufacturer's recommended range is the more useful number.

Choose a cartridge inkjet only when upfront price matters more than running cost and printing is genuinely occasional. Calculate the price of the exact replacement black and colour cartridges before deciding.

• ADF feeds several loose originals into the scanner. It does not mean the machine scans both sides automatically.
• Automatic duplex printing turns the paper during printing. It says nothing about two-sided scanning.
• Flatbed scanning is safer for an Aadhaar letter, certificate, fragile paper, receipt, book or stapled file after staples are removed.
• Legal-size support can refer to printing, the input tray or the ADF. The flatbed on these home-office models remains A4/Letter sized. Confirm the exact path you need before purchase.
• “India Legal,” Legal and Foolscap are not interchangeable labels. Match the dimensions required by the office or court, not only the name in a listing.

1. Count your real monthly pages. Use the last three months of school, pension, office, court and RTI work; do not guess from one busy week.
2. Separate print volume from scan volume. An ADF may save more time than a faster printer.
3. Decide whether colour is necessary. Colour can help with maps, seals and marked-up forms, but many text workflows do not need it.
4. Write down the must-have features. Wi-Fi, Ethernet, auto duplex, ADF, legal-size feed and phone support are separate.
5. Price the exact consumables. Note the bottle, cartridge, toner and maintenance-item codes from the manufacturer's page.
6. Check service and operating-system support. Confirm current drivers for your Windows, macOS, Android, iPhone or office network before ordering.
7. Recheck the final listing. Match model number, warranty, included supplies, seller, return terms and delivery. A product title can combine several variants.

1. Scan at 300 dpi for ordinary text unless the receiving portal specifies something else; higher resolution can create an unnecessarily large file.
2. Check every page for legibility, orientation, missing edges and correct sequence before deleting the working scan.
3. Use a descriptive filename without putting the full Aadhaar number, PAN or medical details in it.
4. Prefer a digitally issued record over scanning paper where the service accepts it. UIDAI's 2026 Aadhaar handbook states that downloaded e-Aadhaar is legally valid and can be used like the Aadhaar letter; DigiLocker says documents in its Issued Documents section are at par with physical originals. A file merely uploaded by the user is different from an issuer-provided document.
5. Keep one encrypted backup and a separate submission receipt. Delete temporary scans from shared computers, print-shop systems and printer apps after confirming your copy.
6. Never send Aadhaar, PAN, tax, pension, property or court records to an unknown “free PDF” website just to merge, compress or convert them.

Section 6 of the Right to Information Act, 2005 governs requests to the concerned public information officer. Section 2(j) includes inspection, certified copies and information in electronic form. A home printer is a convenience, not a condition for exercising the right: an application can use the lawful mode allowed by the relevant authority and rules.

The constitutional setting is broader. In State of Uttar Pradesh v. Raj Narain, (1975) 4 SCC 428, the Supreme Court connected the public's right to know with freedom of speech. That principle supports access to public information; it does not make an ordinary home scan a certified copy or override a portal's format and size requirements.

The lesson is not that everyone should buy an ADF. Meera's repeated batch work justifies it; a household handling two pages a month should use a flatbed, phone scan or trusted service instead.

• Buying by headline speed. ADF capacity, duplex behaviour, tray size, service and consumables often matter more.
• Confusing duplex print with duplex scan. Verify each function separately on the manufacturer's specification sheet.
• Buying a cartridge model for daily work. A low machine price can hide a poor fit for recurring volume.
• Letting ink-tank printers sit unused for months. Follow the manufacturer's use and maintenance guidance.
• Scanning every original through an ADF. Fragile, stapled, folded, laminated or irregular records can jam or suffer damage; use the flatbed.
• Buying generic ink before checking the code. A wrong consumable can waste money or create warranty and print-quality problems.
• Putting a laser printer on an undersized UPS. HP lists 390 W active printing for the 2606sdw; startup and compatibility need device-specific checking.
• Publishing sensitive scans to a cloud converter. Use trusted local tools where possible and remove temporary copies.

For a typical home that prints applications and occasional annexures, a colour ink-tank all-in-one such as the Canon G3770 is the balanced choice. If long double-sided documents are common, choose the G3780. If scanning bundles is the real workload, prioritise the Brother T830DW's ADF.

There is no universal answer. Compare the exact consumable yield, replacement price, monthly volume and colour requirement. Ink tanks suit regular colour work; monochrome laser tanks suit predictable black-text volume. Manufacturer yields are estimates under stated test conditions, not a promise for every document.

No. A flatbed is better for one-off IDs, certificates, bound material and fragile originals. An ADF saves time only when you repeatedly scan loose multi-page sets.
